Designation: Administrative Officer
(General Support Functions)

Department: Social and Community Services

Division: Housing with Care Services Team

Responsible to: Housing with Care Services Manager

Purpose of the Job:

Provide general administrative support for the Housing with Care Services Team and assist in the provision of a high quality co-ordinated service. To undertake special projects as directed by line manager.

MAIN DUTIES AND RESPONSIBILITIES

1 To receive and process requests for printing, photocopying or binding. Where deemed appropriate, in discussion with Line Manager, refer requests to the Print Room.

2 To liaise with the Print Room to establish workloads before referring urgent requests for printing and advising officers where deadlines cannot be met.

3 To order, receive, issue, and maintain stocks of basic stationery items. Ensuring inventory database is maintained at all times.

4 To administer the purchase of equipment and goods ensuring that payments and invoices are processed in good time in line with Council Procedure

5 To raise and process invoices as necessary in line with Council Procedures.

6 To maintain a central library of administrative and professional publications; ordering and updating publications as necessary.

7 To provide a filing service as designated by Line Manager, and maintain files in accordance with Audit and Corporate guidelines.

8 To prepare documents and files for archives (Records Management Centre), completing the listing and transmission documents, and maintaining the master list of archived files.

9 To manage and maintain petty cash system ensuring that reconciliations are carried out in good time to maintain availability of monies.

10 To receive general telephone enquiries from the public and provide information as necessary.

11 To maintain stocks of printed forms, and annually re-order and distribute as necessary.

12 To manage and maintain office inventory ensuring details are retained by the appropriate departments

13 To receive requests for changes / repairs to telephone and Facsimile lines and action accordingly. Follow up requests to ensure completion of the works.

14 To maintain records for the team regarding attendance, absence, sickness and annual leave, and ensure weekly returns are sent to personnel as appropriate.

15 To maintain accident book and health and safety records in accordance with Council Procedure

16 To take part in training and attend meetings as required

17 To carry out the duties of the post holder in accordance with Council and Departmental policies and procedures

18 To perform other tasks as directed by your Line Manager as may be required from time to time.

QUALIFICATIONS AND EXPERIENCE

• G.C.S.E or equivalent
• Minimum of 1 years work experience in a similar environment.
• Excellent written and oral communication skills.
• Ability to work without direct supervision
• Knowledge of Information Technology including Windows NT, Word, Excel
• Experience of managing petty cash systems Essential
